Transformation runs on data. We automate it, from collection to reporting.

Every B-BBEE, employment equity and skills report depends on figures gathered from payroll, procurement, training and finance. We design and build the systems that collect those figures once, check them and turn them into the dashboards and reports your committee, board and verification agency need. AI does the reading and matching. Your people make the decisions.

  1. 01Collected onceFigures come straight from the records you already keep, instead of being retyped.
  2. 02Checked by AIDocuments are read, and gaps, duplicates and expiry dates are flagged.
  3. 03Confirmed by your peopleA named person reviews and approves every figure before it is used.
  4. 04Reported without retypingDashboards, packs and verification files come from the same approved figures.

The problem

In transformation, the hard part is the data.

Ask a transformation manager where the month goes, and the answer is seldom strategy. It goes on finding and collating data. Salaries and occupational levels sit in payroll. Supplier spend sits in the procurement system, and the B-BBEE certificates behind it sit in inboxes. Training records are kept by HR, by training providers and sometimes on paper. Enterprise development and socio-economic development contributions sit with finance.

Bringing all of that together, checking it and analysing it takes weeks every month. The same report is rebuilt by hand each time, from spreadsheets that do not quite agree with each other. By the time the figures are ready, there is little time left to act on them.

Then verification arrives, and the gaps show: an expired certificate, a missing attendance register, a learner who cannot be matched to a payment. Points are lost not because the work was not done, but because the evidence could not be found or proved.

Where the data sits today

  • Payroll and HRSalaries, occupational levels, race, gender and disability, for employment equity and management control.
  • ProcurementSupplier spend, with certificates and affidavits filed in email and shared drives.
  • TrainingLearnerships, bursaries, attendance registers and invoices from several providers.
  • FinanceESD and SED contributions, the leviable amount and net profit after tax.
The resultOne month-end report, rebuilt by hand, every month.
A typical picture before automation. Every business is different, so we start by mapping yours.

What we do

We automate transformation systems, from data collection to reporting.

We know how B-BBEE, employment equity and skills development are measured, so we design systems around the Codes rather than around a generic software template. Each system collects the data at the source, keeps the evidence with it and produces the reports without retyping. We use AI where it genuinely helps, mostly for reading, matching and drafting, and we leave judgement with the people who are accountable for it.

Where AI helps

  • Reading certificates, affidavits and invoices, so nobody has to retype them.
  • Matching each document to the scorecard claim it supports.
  • Flagging gaps, expiry dates and sub-minimum risks early in the year.
  • Bringing figures from many spreadsheets into one reliable record.
  • Drafting the first version of the commentary for committee and board packs.

Where your people decide

  • Which figures go to the verification agency.
  • Anything that affects a person, such as hiring, pay or EE classification.
  • How the Codes and your sector targets apply to your business.
  • Ownership structures, and anything that could look like fronting.
  • Approving every report before it leaves the business.
  1. 01Custom dashboardsYour likely level, every month, while the year is still open.
  2. 02Application systemsBursary, learnership, ESD and supplier applications, decided fairly and on record.
  3. 03Skills developmentThe training trail, from the attendance register to the WSP and ATR.
  4. 04ProcurementSupplier certificates, spend and ESD beneficiaries, tracked all year.

The systems

Eleven systems, each one built around your scorecard.

They fall into five families, from getting the records in to keeping them safe. Most clients start with the one that costs them the most hours, and add others as the year shows what is needed. Where nothing fits, we build it for you.

01 · Capture and evidence

Get the records in once, and keep them in order.

Certificates, affidavits, invoices, payroll and supplier files are read and filed where they belong. Anything missing or about to expire is flagged for a person to check.

Custom dashboards

See the year while it is still open.

Most businesses learn their B-BBEE level only when the verification report arrives, months after the measurement year has closed. A custom dashboard changes that. It reads from the data you already collect and estimates where you stand, element by element, every month, so your executives can see the points at risk and act while there is still time.

  • Your scorecardBuilt on your sector code, your enterprise size and the elements that apply to you.
  • Your targetsSub-minimums and internal targets are tracked, with a warning when one is at risk.
  • Your questionsDesigned around what your committee and board actually ask, in your own words.

Application process design

Application systems that are fair, quick and easy to audit.

Bursaries, learnerships, ESD support and supplier registration all start with an application. In many businesses those applications arrive by email, are tracked in a spreadsheet and are decided in a meeting that nobody minuted. That is slow for applicants, hard to defend and difficult to verify. We design the whole process with you and build it as one system.

  1. 01
    Intake

Applicants complete one online form that asks only for what the decision needs, in line with POPIA.

  2. 02
    Criteria

Your criteria are written into the system, so every application is measured against the same rules.

  3. 03
    Evidence

Documents are uploaded once. AI reads them and flags anything missing, unclear or out of date.

  4. 04
    Decision

Your panel reviews a shortlist with the evidence alongside it, and records each decision and its reasons.

  5. 05
    Audit trail

Every step is logged, so you can show a verification agency, an auditor or an applicant exactly how a decision was made.

Skills development

The skills data trail, kept in order all year.

Skills development is often the element with the weakest evidence. Training happens across the business, records sit with different providers, and the spend has to be measured against the leviable amount. We automate the trail, from the first attendance register to the final report.

  • Training recordsEvery course, attendee and attendance register is recorded once, against the employee or learner it belongs to.
  • Learnership and bursary registersAgreements, stipends, results and status are kept for each learner, with a reminder when a document falls due.
  • WSP and ATR preparationThe workplace skills plan and annual training report are prepared from the same records, ready for your skills development facilitator to review before submission to your SETA.
  • Spend against the leviable amountSpend on learning programmes is measured during the year against the current target of 3.5% of the leviable amount, so the gap can be closed in time.
  • Absorption evidenceLearners who complete a programme and are employed are recorded with the evidence the Codes require.
  • Learner progress dashboardsManagers see who is progressing, who needs support and who is close to completing.

Procurement

Procurement spend that counts, and can be proved.

Preferential procurement carries 27 points on the scorecard, and every rand of it depends on two things: an accurate spend record and a valid certificate or affidavit for each supplier. Both change all the time. We automate the supplier side and the spend side, so the figures hold up at verification.

Spend with an empowering supplier is recognised according to the supplier's B-BBEE level. R100 spent with a Level 1 supplier counts as R135. Working that out by hand for hundreds of suppliers, each with a certificate that expires on a different date, is slow and easy to get wrong.

  • Supplier certificate collectionSuppliers upload their certificate or affidavit through one link. AI reads the level, Black ownership and expiry date, and a person confirms them.
  • Expiry trackingSuppliers are reminded before a certificate expires, and your team sees which spend is at risk.
  • Spend analysisSpend is analysed by recognition level and by supplier category, with the gap to each target shown in rand.
  • Empowering and Black-owned spend dashboardsSpend with empowering suppliers, Black-owned suppliers and Black women-owned suppliers is shown as the year runs.
  • ESD beneficiary trackingSuppliers you support through enterprise and supplier development are tracked with their funding, support and growth.
  • Reports for the committeeThe procurement report for your transformation committee is drafted from the approved figures every month or quarter.

Reporting

The monthly report, drafted from data you already collect.

Most transformation teams rebuild the same reports every month by hand. We design the report once, and the system does the gathering, the checking and the first draft. Your team reviews it, corrects it where needed and approves it.

Gathered from

  • Payroll and HR exports
  • Supplier certificates and affidavits
  • The procurement spend ledger
  • Training registers and invoices
  • ESD and SED records
  1. 01Gathered

The system collects the data from the files and systems you already use, on a schedule you set.

  2. 02Checked

AI flags gaps, duplicates and expired documents, and a person resolves each one.

  3. 03Drafted

The system builds the tables and charts, and AI writes a first draft of the commentary in plain language.

  4. 04Approved

A named person in your team edits and signs off. Nothing is sent without that approval.

Produces

  • The monthly committee pack
  • Quarterly board reports
  • Inputs for your EE reports
  • Verification schedules
  • ESG disclosures

Small reports we automate

The small, repeated reports are often where the most hours go. A few examples of what clients ask for:

  • Certificate expiry listSent to procurement every Monday
  • Skills spend against targetSent to HR and the committee every month
  • Supplier level summarySent to the procurement head every quarter
  • Committee pack with draft commentaryReady before every committee meeting
  • Workforce profile by level and occupationFor the EE committee and the EE reports
  • Missing evidence listSent weekly in the months before verification

The rule we build in: AI drafts, a named person approves, and every figure links back to its source.

Data protection

Your data stays on your systems, under your control.

Transformation data holds salaries, ID numbers, race, gender, disability and ownership details. It is some of the most sensitive information a business keeps. That is why we build local-first systems that run on your own devices and servers, with POPIA designed in from the start.

  • Encrypted backupsBackups are encrypted with a passphrase you choose, and a reminder appears when one is due.
  • POPIA by designOnly the personal information each measure needs, with names and ID numbers hidden where totals are enough.

  • Full audit trailEvery change, check and approval is recorded, so your verification agency can follow it.
  • Human in the loopAI drafts and flags. A person confirms every figure used for verification or reporting.

Local first and cloud tools, compared fairly

Cloud tools suit some work well, and we will say so. When a client needs one, we help choose the provider and set it up in line with POPIA, including the rules on sending personal information outside South Africa.

Proof from our own work

We build our own tools this way.

The systems we use to deliver our own services, ESG Proposal Designer, ESD Measure and ESG Measure, each run as a single file in the browser with every network connection blocked. Client data stays on the device, backups are encrypted with a passphrase the user chooses, and every change is written to a log.

Where AI is used

When a task needs an AI model, we agree with you where it runs: on your own hardware where that is practical, or through a service you approve, with names and ID numbers removed before anything is sent.

AI training, coming soon

AI training for transformation teams, launching in 2027.

We are preparing a programme of practical courses on using AI and data well in B-BBEE, employment equity, skills and ESG work: what AI does well, where a person must decide, and how POPIA applies. The course material is being written now and the first dates are planned. Register your interest and we will tell you when dates and fees are confirmed.

How we work with you

Built around your scorecard, not a template.

There is no off-the-shelf version of your transformation data. Every system we build is designed around your scorecard, your sector code, the data you already collect and the people who will use it. A typical engagement runs in five steps, and you can stop after any of them.

  1. 01Discover

We look at the data you gather, where it sits, who uses it and which reports take the most time.

You receive a short findings note
  2. 02Design

We design the screens, the records and the reports with your team, before anything is built.

    You receive designs to approve
