Training and consultation booking terms
How bookings for our courses, consultations and learnerships are confirmed, paid for, changed and cancelled.
Last updated: 21 October 2026
1. About these terms
1.1 These terms apply when you book a training course, request a consultation or enquire about a learnership with BS Vision (Pty) Ltd, trading as BS Vision Corporate Consulting ("BS Vision", "we", "us"), whether through this website, by email or by phone. "You" means the person or organisation making the booking, and "delegate" means a person attending a course.
1.2 They apply together with our website terms of use and our privacy notice. If a signed proposal, engagement letter or learnership agreement says something different, that document applies.
1.3 Important clauses. Clauses that limit our liability, impose charges or place risk on you are printed in bold. Please read them carefully. If you are a consumer under the Consumer Protection Act, 2008 (CPA) or the Electronic Communications and Transactions Act, 2002 (ECTA), nothing in these terms limits any right you have under those Acts that cannot lawfully be limited. Most organisations booking our services are not consumers under the CPA, but many small businesses and individuals are, and these terms are written to be fair to both.
2. How a booking becomes binding
2.1 A booking form, email or call is a request (an offer) to book. It does not bind you or us.
2.2 A booking is binding only when we confirm it to you in writing, normally by email. Our confirmation will state the course or service, the date or dates, the venue or online format, the number of delegates, the price and the payment terms. An automatic acknowledgement of receipt is not a confirmation.
2.3 Course dates shown on the website are provisional until we confirm them in writing. We may decline a booking request, for example if a course is full or no longer offered.
3. Prices and VAT
3.1 Unless a price is shown on the website, course and service prices are available on request and are quoted in our written confirmation. The price in that confirmation is the price you pay.
3.2 Prices exclude VAT, which is added at the current rate (15%) on our invoices. BS Vision is registered for VAT, and our VAT number is available on request. There are no delivery charges. Any venue, catering, travel or material costs that are not included will be stated in the quote.
4. Invoices and payment
4.1 We issue an invoice with our confirmation. Payment is by electronic funds transfer to the bank account shown on our invoice. We never ask for payment through this website, and we will never change our banking details by email alone. If you receive a request to pay into a different account, call us on 010 500 0909 before paying.
4.2 Payment is due in full before the course date, unless we have agreed otherwise in writing (for example, approved credit terms for an organisation or a purchase order process). We may hold a place without payment for a limited time and release it if payment is not received.
4.3 If an amount is not paid when due, we may withhold the place, certificate or materials until payment is received. We do not charge interest on late payment.
5. Free courses
5.1 Free courses and webinars require registration, and places are limited. A place is secured only when we confirm it.
5.2 We may cancel, reschedule or change a free course at any time. We will try to give registered delegates reasonable notice. No charge or compensation applies to free courses, either way.
5.3 If you cannot attend a free course, please let us know so that we can offer your place to someone else.
6. Substitutions
You may send a substitute delegate in place of a confirmed delegate at no extra charge, provided you tell us the substitute's name and email address before the course starts. Where a course has entry requirements, the substitute must meet them.
7. Cancellation by you
7.1 To cancel a confirmed paid booking, email sales@bsvision.co.za. The cancellation takes effect when we receive your email. "Business days" exclude weekends and South African public holidays.
7.2 The following cancellation charges apply, counted back from the first day of the course:
| When you cancel | What happens |
|---|---|
| 10 or more business days before | Full refund, less a reasonable administration charge of R250 per delegate or 5% of the fee, whichever is lower |
| 5 to 9 business days before | Refund of 50% of the fee. Alternatively, you may transfer the full fee to a later course date within 6 months, at no charge. |
| Fewer than 5 business days before, or if a delegate does not attend | No refund. The full fee may be transferred once to a later course date within 6 months, or used by a substitute delegate. |
7.3 These charges reflect the costs we have already incurred and the places we hold back for you, and the chance we have to fill a cancelled place. If we are able to fill your place, or our actual loss is lower, we will reduce the charge accordingly. Where the CPA applies to you, the charge will never be more than is reasonable under section 17 of the CPA and its regulations, taking into account the notice you gave, our reasonable potential to find another delegate and the general practice in the training industry.
7.4 Where the CPA applies, no cancellation charge applies if you cannot attend because of the death or hospitalisation of the delegate (section 17(5) of the CPA). We will apply the same approach to all clients on reasonable proof.
7.5 Refunds are paid by electronic funds transfer to the account from which payment was made, within 30 days of cancellation.
8. Cooling-off right for consumers (ECTA section 44)
8.1 If you are a consumer under ECTA (a natural person booking for your own use, rather than a business) and you concluded your booking electronically, you may cancel it without giving a reason and without any charge within 7 days after the booking was confirmed. We will refund any payment within 30 days after you cancel.
8.2 This cooling-off right does not apply in the cases set out in section 42(2) of ECTA, including where a service begins, with your consent, before the 7-day period ends (for example, a course that starts within 7 days of booking and which you attend).
8.3 After the cooling-off period, clause 7 applies. Your rights under clauses 7 and 8 are in addition to any other rights you have in law.
9. Postponement or cancellation by us
9.1 We may postpone or cancel a course, for example if too few delegates have booked, a facilitator is unavailable or the venue becomes unavailable. We will give you as much notice as we reasonably can.
9.2 If we postpone or cancel a paid course, you may choose either a transfer to another date at no extra cost or a full refund of what you paid for that course, within 30 days.
9.3 Apart from the refund or transfer in clause 9.2, we are not liable for travel, accommodation or other costs you incur because a course is postponed or cancelled, unless we cancelled through our gross negligence or wilful misconduct, or the law provides otherwise. We recommend that you book flexible travel.
9.4 We may change the facilitator, venue (to one in the same area) or format of a course where reasonably necessary, provided the content is substantially the same. If the change is significant and you do not accept it, you may cancel for a full refund.
10. Online sessions
10.1 Joining links for online courses and consultations are personal to the confirmed delegate and may not be shared or forwarded.
10.2 You are responsible for a suitable device, software and internet connection. We are not responsible for problems with your own equipment or connection, but if a session cannot go ahead because of a failure on our side, we will reschedule it.
10.3 We will record an online session only if we tell participants beforehand, and we will explain how the recording will be used. Delegates may not record any session, in whole or in part, without our prior written permission.
11. Certificates of attendance
11.1 We issue a certificate of attendance to delegates who attend the full course (or such minimum portion as we state in the confirmation), and who meet any assessment requirement stated for the course.
11.2 A certificate of attendance confirms attendance only. Unless we expressly state otherwise in writing, our courses are not accredited qualifications and do not award credits towards a registered qualification.
12. Course materials
Course materials, slides, templates, tools and recordings are © BS Vision (Pty) Ltd, or used under licence, and are protected by copyright. Delegates may use them for their own learning and for internal use within their organisation. They may not be copied, shared outside the organisation, sold, used to run training, or used to train artificial intelligence systems, without our prior written permission. Materials contain general information, not advice for your particular circumstances (see clause 4 of our website terms of use).
13. Conduct at courses
We expect delegates to treat facilitators and other delegates with respect. We may remove a delegate whose conduct is disruptive, abusive or unlawful, without refund, after a warning where reasonably possible. Delegates must follow the venue's health, safety and security rules.
14. Consultations
14.1 Your first conversation with us, requested through the website, is free of charge and without obligation. It is an online session of up to 30 minutes. Consultations in person, and any time beyond the first 30 minutes, are billed at our hourly rate, which we confirm in writing before the meeting.
14.2 Any ongoing or project engagement is governed by a separate written proposal or engagement letter, signed by both of us, which sets out the scope, fees, deliverables, timelines and liability terms. Nothing said in an initial consultation binds either of us until that document is signed.
14.3 Ad hoc advisory sessions outside an engagement are charged at the rate we quote in writing before the session, and clauses 3, 4 and 7 of these terms apply to them as if they were courses, except that you may cancel or move an advisory session free of charge up to 24 hours before it starts. Sessions cancelled later, or missed, may be billed in full.
14.4 Where we help you seek funding, we do so as a facilitator only. BS Vision is not a lender, credit provider or financial services provider. Any funding is offered by a registered funding partner on its own terms and at its own discretion, and we cannot guarantee approval.
15. Learnership enquiries
15.1 A learnership enquiry is a request for information only. It does not bind you or us, and it does not reserve a learnership place, create employment or guarantee funding or tax incentives.
15.2 A learnership becomes binding only when the relevant written agreements are signed, which may include a learnership agreement registered with the relevant SETA, an employment contract with the learner and a service agreement with us. Those documents will set out the obligations of everyone involved.
16. Liability
16.1 We will deliver courses and services with reasonable care and skill, and in line with what we described in our confirmation.
16.2 To the fullest extent the law allows, our total liability arising from a booking under these terms is limited to the fee paid for that booking. We are not liable for indirect or consequential loss, such as loss of profit, loss of B-BBEE points or a particular verification outcome.
16.3 These limits do not apply to loss or harm caused by our gross negligence, wilful misconduct or fraud, or that of a person acting for or controlled by us, to death or personal injury caused by our negligence, or to any liability that cannot lawfully be limited, including under sections 48 to 51 and section 61 of the CPA where it applies to you.
16.4 Delegates attend at their own risk regarding their personal belongings, except where loss or damage is caused by our negligence.
17. Events beyond our control
Neither of us is liable for failing to perform, or for delay in performing, an obligation (other than paying an amount due) because of an event beyond reasonable control, such as natural disaster, pandemic, government action, civil unrest, extended load-shedding or utility failure, or the failure of a public telecommunications network. The affected party must tell the other promptly and take reasonable steps to limit the effect. If a paid course cannot go ahead for this reason, we will offer a transfer to another date or, if that is not acceptable to you, a full refund of what you paid.
18. Personal information
We use delegates' and contact people's personal information to manage bookings, deliver courses, issue certificates and keep training records, as explained in our privacy notice. If you book on behalf of others, please make sure they know about it. Our PAIA manual explains how to request access to records.
19. General
19.1 These terms are governed by South African law, and clause 11 of our website terms of use (governing law and jurisdiction, including your rights as a consumer) applies to them.
19.2 If any provision is found to be invalid or unenforceable, it will be limited or removed only to that extent, and the rest will continue to apply.
19.3 We may update these terms by publishing a new version on this page. The version in force on the date of our written confirmation applies to that booking.
20. Contact and complaints
To make, change or cancel a booking, or to raise a complaint, contact us at sales@bsvision.co.za or 010 500 0909, or write to us at 50 Constantia Boulevard, Quadrum Office Park, Quadrum 4, Constantia Kloof, Johannesburg (Roodepoort), Gauteng. We will acknowledge complaints promptly and try to resolve them fairly. See also our cookie policy.
